Team Coordinator

Position: Full Time

The Role

This role is permanent full-time and is based in Cubane’s North Sydney office. You will be reporting to the Managing Director, ANZ Consulting and will be responsible for:  

ANZ Consulting & Operations Support

  • Maintain client contacts and contact groups
  • Organise client briefings, workshops and conferences including liaising with clients on availability and manage the required logistics, venue bookings and associated services
  • Support with communications for webinars and events, as well as marketing and sales campaigns for ANZ and Asia
  • Update contacts in Salesforce for current clients and prospects

Executive Support & Travel Administration

  • Manage diaries for the Cubane CEO, Managing Director, ANZ Consulting & Director, Consulting Services Development
  • Organise all travel, prepare expense claims and reconcile credit cards for Cubane CEO and Managing Director, ANZ Consulting
  • Liaise with the appointed travel management company and organise international travel bookings for the group
  • Organise travel within the ANZ region for ANZ employees and employees visiting from other regions

Office Administration

  • Manage day-to-day running of the ANZ office, including office security, stationery and kitchen inventory, office maintenance and building management point of contact
  • Manage the leave calendar for all ANZ staff and communicating with Accounts for payroll management
  • Support new ANZ staff office induction including office set-up
  • Organise internal ANZ Office events
  • Other general office management as required

Local Finance support

  • Communicate with the Finance team on scheduling, travel and office management expenses

About You:

  • Highly organised with a can-do attitude and drive to meet deadlines and get things done
  • Proactively identifies opportunities to add value and takes initiative to act
  • Proficient multitasker with excellent attention to detail
  • Skilled at effectively and efficiently managing multiple stakeholders, including senior client executives and their assistants
  • Able to pragmatically influence and negotiate outcomes, particularly when scheduling multi-client events
  • Strong interpersonal, written and verbal communication skills
  • Proficient in Microsoft Office, including Word, Outlook, OneNote, Excel and Teams

Qualifications and Experience

  • Strong background as a Team Coordinator or in a similar administrative position managing a wide range of tasks,
  • Proficient in event management, with experience managing significant company events and conferences
  • Experience providing administrative support to senior management, including diary and travel management.
  • Tertiary qualification or completion of a reputable training course in business administration (desirable)
